Summary: Learn how to set up a conference call with more than 2 off-campus participants by using the teleconference service provided by UCSD in conjunction with ReadyTalk.

Note: ReadyTalk is UCSD's conference provider. Our contract with AT&T (formerly SBC 1-800-Conference) ended in May 2007. If you continue to use AT&T, you will pay non-discounted rates. ReadyTalk is a "pay as you go" service with no one-time sign-up fees or recurring charges. Sign up with ReadyTalk by following the steps below:
What to do Details
1 Sign up for a ReadyTalk conference account.
  1. Open the ReadyTalk signup form, fill in the fields, and press Submit.
  2. You will receive an e-mail within 24 hours with your new account information. You can start using ReadyTalk’s conference services after you receive this e-mail.
  3. You will receive your new ReadyTalk card with your account information by mail in about 2 weeks.
In the future, you may need to change your index number. Here's how:
  • E-mail UCSD's Virginia Bogtong or Alison Kibble with your ReadyTalk access number, and provide the old and new index numbers. Request the change and show the effective date.
    or
  • E-mail Kim Morse, ReadyTalk’s account representative, with the same information.


2 Learn about ReadyTalk conferences and support functions.
  1. Visit the ReadyTalk Web site, and use the tabs for instructions and training guides.
    • Solutions tab:
      • Brief descriptions of ReadyTalk’s services. Note that prices on the Web site are not applicable as UCSD has special rates.
    • Education tab:
      • User guides
      • Training sessions
    • Support tab:
      • Computer requirements for Web conferencing
      • Instructions for retrieving or resetting your passcode
3 Decide on the type of conference and any additional services.
  1. Conference types:
    • Audio conference
      • Reservationless
        • The most cost-effective at 4 cents per minute
        • Maximum of 96 participants. If you have more participants, contact ReadyTalk at (800) 843-9166.
      • Reserved, or Operator-Assisted
        • Contact ReadyTalk at (800) 843-9166.
    • Web conference
      • No additional cost
      • Deliver visual content and interactive presentations to your meeting.
  2. Additional conference services: See ReadyTalk’s Online User Guide for more information, or contact ReadyTalk 24 hours a day, 7 days a week to:
    • Record your conference for 4 cents per minute.
    • Order Archive Hosting for 20 cents per month.
4 Plan your teleconference.
  1. Decide on the date and time. (Consider time zones.)
  2. Contact participants ahead of time and give them the following information:
    • Date
    • Time
    • U.S. toll-free number (or international toll-free number if you’re paying for the long distance charges for your international participants, or provide them with the toll number if you prefer that they pay the toll charges)
    • 7-digit access code
    • Specify whether it is an audio conference, or both audio and Web. If there is a Web component, give participants the URL: http://www.readytalk.com. (Tell participants to join the Web conference by clicking on the Conference Center tab and following directions there.)
5 Participate in the teleconference (as a host or participant).

Hosts: For a handy reference to setting up and starting your conference, print out the ReadyTalk "Getting Started Guide" (PDF).

  1. Call the number to join the conference at the arranged date and time. Remember to log on to ReadyTalk if the conference includes Web participation.
  2. As a host, enter your 7-digit access code, press * on your phone keypad when prompted, then enter your passcode to start the conference.
    or
    As a participant
    , simply enter your 7-digit access code when prompted.
Note: To enable the touch-tone feature on your campus desk phone, press 9 before entering the 7-digit access code.

6 Review your charges.
  1. Conference charges will appear on your Telecommunications recharge statement, accessible via FinancialLink.
  2. Each conference call will be assessed a $2 processing fee, in addition to the cost of the call.
