How to Run an Academic Personnel Sabbatical Credit Accrual Query  
 
Summary: Find out how to use QueryLink to determine an academic employee's sabbatical credit balance.

Note: Balances are given as of the last day of the employee's last sabbatical. See Step 5 for instructions on figuring current balances.
What to do How to do it
1 Learn how to use the query tool, if necessary.
  1. Review How to Retrieve Data Using QueryLink.
2 Open the Academic Personnel Sabbatical Credit Accrual query.
  1. Access the Academic Personnel Sabbatical Credit Accrual query in EmployeeLink.

    Note: If you don't have access to EmployeeLink, follow the directions in How to Get a User ID (Business Systems).
3 Make your selections in the query fields.
  1. On the Employee tab:
    • In the box next to Employee Name, enter the name (last name, first name) of the academic employee for whom you are retrieving data.
  2. On the Department tab:
    • Leave all departments selected in the drop-down list next to Department. They are the departments you are authorized to access.
  3. On the Sabbatical Credit tab:
    • Make no changes to the default settings.
4 Submit your query.
  1. Choose how you want the results presented from the pull-down menu at the bottom of every query screen, above the Help button.
    • Send Data to Screen (default view)
    • Tab-delimited file
    • Excel spreadsheet
    • Excel PivotTable
    • Chart Wizard (to create a graphics chart)
  2. Click Submit to run the query.
5 Check the query results and calculate current credits.
  1. Review the data, shown under two headings:
    • Sabbatical Credits: The number of credits available
    • Credits Calculated Date: Credit accrual and credit usage are calculated through this date. No sabbatical leave has been taken and no credits have been forfeited since this date.

    Example: If Sabbatical Credits are 6, with a Credits Calculated Date of 06/30/2001, the employee has not taken any sabbatical leaves since 06/30/2001, or used any sabbatical credits in other ways.

  2. Determine the current available balance:
    • Add the number of credits earned for each academic year since the Credits Calculated Date, based upon the appointment type (academic or fiscal year).
    • Consider any leaves that have affected the accrual.
    Note: You can also use this method to project sabbatical credit balances for a future date.
6 Modify your query, if needed.
  1. After running your query, you can make changes to your selections:
    • Check the box next to a field to display that field in the query results.
    • Uncheck the box next to a field to remove that field from the query results.
    • Enter values in the boxes next to fields to further refine the query.
